This is a default which will fill in when adding new products.  Simply type in what your most common unit of measure will be when you are purchasing items.

This is a default which will fill in when adding new products.  If you will allow most of your items to be discounted at the time of invoice, set this to Y, otherwise set it to N.

If you are auto-generating your UPC's, you may set the starting number here.  This number will increment as each new product is added.

Set this to the number of characters for your ID prefix.  No more than 2 or 3 characters is recommended for the prefix.  Set to 0 if you do not want to use the prefix.

A 3 character prefix for your PO numbers.  This is for print only and does not store with your PO number.  Leave blank to not use the prefix.

To reuse voided PO numbers, set this to Y.  To skip voided numbers, set this to N.  It is strongly recommended for networked users that this field be set to N.

To automatically have your PO numbers assigned, set this to Y.  If you wish to manually assign PO numbers, set this to N. (If you will be creating PO's from the vendor screen, you MUST auto-generate your PO numbers.)

You have 4 different options for determining your default inventory pricing:  None, Margin, Mark-up or Discount from Retail.  Click on the drop down to view the 3 options and then click the button for the one you want and then select Ok.  

If you choose None, you will simply proceed to the next item; if you choose Margin, Mark-up or Discount, you will be prompted to enter the default percentages you desire for each of the 5 price levels.  Enter these values as percentages.  For example, a 30% margin would be entered as 30.00; a 10% discount would be entered at 10.00.

NOTE: Remember that "cash" sales (those not tied to a customer) will always use price level A; keep this in mind when setting default pricing.

This is a default which will fill in when adding new products.  If you have enabled the minimum margin checking at the time of invoice (see invoice options), this is the default margin used.  Regardless of your setting here, the minimum margin may be changed for individual items.

This is a default field which will fill in when adding new products.  If the majority of the inventory you sell is serialized (have serial numbers), you can set this to Y.  If you have few or no serialized items, set this to N.   Regardless of your setting here, it can be changed on individual items.

This is a default field which will fill in when adding new products.  If you will print product or barcode labels for the majority of your inventory, set this to Y.  If you do not want to print labels for the majority of your products set this to N.  (Only items set to Y will print when creating product labels.)

If setting rate by Customer, set this to be Y/N for taxable/non-taxable.  If setting by Inventory, set this to the default tax rate levels when adding new products.

If you want UPC codes automatically assigned to your items, set this to Y.  This is convenient if your products do not come with a UPC code and you wish to print and attach labels to them.  If most of your products come with a UPC code, or you want to manually assign the UPC code, set this to N.

If you are Auto-Generating your product ID's, you may set the starting number here.  If you are using the group option for the prefix, this will be the number that each group begins with.

You have tremendous flexibility in establishing product ID's.  You may simply have consecutively numbered products, or you may use a category prefix, or you may manually assign the ID's yourself.  By combining the settings of the next 3 fields, you can control how your inventory is handled.

If you must charge sales tax on a restocking fee when taking a customer return, this field should be set to Y.  If they are non-taxable, set it to N.

To allocate kits and accurately track the number of kits you have physically assembled, set this to Y; otherwise, set it to N.  

Controls how you enter discounts on purchase orders.  Enter % for percentage and $ for dollar.

Allows you to set the number of decimal places for your selling quantities.  Enter 0, 2 or 3.

Allows you to set the number of decimal places for your selling prices.  Enter 2, 3 or 4.

You have 3 cost methods to choose from: Average Cost, Last Cost or Fixed Cost.  Enter A, L or F (Avrg, Last or Fixd) to set which cost method you will use.

Average Cost-Uses a weighted average of the value of inventory on hand and any new price you are paying for incoming inventory.  

Last Cost-Uses the last price you paid for the item.

Fixed Cost-Assumes that your costs remain constant.  This value remains constant unless you manually change it.

 

NOTE:  It is recommended that you discuss with your accountant the appropriate costing method for your particular business.

To have the same line item comment print on both PO's and invoices, set this field to Y; to have separate comments, set this field to N.

Controls the order for the search box that appears from the inventory screen, putting what you are most likely to search on at the top.  A radio button selection is available.  Click on the  to view the 3 options and then click the button for the one you want and then select Ok.
